Who we are and what this covers
CentraSpark Management Systems Inc. (CentraSpark, we, us or our) is based in Saskatoon, Saskatchewan, Canada. We are responsible for personal information collected through centraspark.com, including its public information pages, contact form and invitation-only previews.
This policy describes those website activities. Processing of live customer or business records through software or managed services may also be addressed by a service-specific privacy notice and agreement. The product workflows and forecasts shown in our demonstrations use illustrative information; they are not evidence of a live customer database.
Our privacy contact can be reached at admin@centraspark.com.
Information we collect
- Enquiries and correspondence. Our contact form asks for your name, business name, email address and message. You can also provide a phone number and select services of interest. We receive any additional information you choose to provide when corresponding with us.
- Technical information. Our hosting, delivery and security providers may process your IP address, browser and device information, requested pages, referral information, request times, errors and security events to deliver and protect the website.
- Private preview access. Sign-in requests and access cookies are processed to check whether you may enter a protected area. Some previews save selections, notes or demonstration activity in your browser so their features can work.
Please provide only information relevant to your enquiry. Do not send payment-card details, identity documents, passwords or sensitive customer records through the contact form. Use sample information when trying a demonstration.
How we use information
We use enquiry details to respond to you, understand your request, discuss relevant services and keep a record of that correspondence. Technical and access information helps us operate the website, troubleshoot problems, prevent abuse and protect private previews. We may also use information as needed to meet legal obligations or establish, exercise or defend legal rights.
Website enquiries are delivered to and retained in our business email inbox. We do not copy them into a CRM or automatically add enquirers to a mailing list. We do not sell personal information.
When you submit an enquiry, we use the details you provide for the purposes described here. You can choose not to provide optional information. If we wish to use personal information for a new purpose that requires consent, we will explain that purpose and obtain the required consent. A request for a reply is not treated as a general subscription to promotional emails.
Service providers and sharing
We use providers to host the website, process contact forms, deliver email and protect our services. They receive information needed to perform those functions:
- Vercel hosts and delivers the website and processes associated technical and security information. See Vercel’s privacy notice.
- Web3Forms processes submitted form details and delivers the enquiry to us. Its infrastructure and spam-prevention providers may process submission data, including email and IP addresses. See Web3Forms’ privacy policy and data processing agreement.
- Email services process and store the enquiry and our replies in our business inbox.
Access within CentraSpark is limited to people who need information for the purposes described in this policy. We may disclose information where required or permitted by law, including to respond to lawful requests, investigate misuse, protect rights or obtain professional advice. If a business transaction involves personal information, we will apply the safeguards and notices required by applicable law.
Processing outside Canada
Our service providers and their infrastructure may process or store information outside Canada, including in the United States. Web3Forms operates from India and uses infrastructure in multiple regions. Information processed in another country may be accessible to courts, law enforcement or other authorities under that country’s laws.
We remain accountable for personal information under our control and use contractual or other appropriate measures to protect information handled by service providers. Contact us if you would like further information about these arrangements.
How long information is kept
We retain enquiry correspondence while it is needed to respond, manage the resulting business relationship, resolve disputes or meet legal obligations. The period depends on the nature of the enquiry and any ongoing work. Information should be deleted or anonymised when it is no longer needed for those purposes; you can contact us about the information associated with your enquiry.
Service-provider retention can differ from inbox retention. Web3Forms states that it retains form submissions for a maximum of three years, unless a shorter period applies or the information is deleted earlier. Hosting, security and email records may have separate retention and backup cycles. We will work with relevant providers when a valid request requires deletion.
How information is protected
We use safeguards appropriate to the information and the circumstances, including HTTPS for website connections and access controls for private previews. No online service or email system can guarantee complete security. Please contact us promptly if you believe information connected with this website has been accessed or disclosed improperly.
Your choices and privacy requests
You may ask what personal information we hold about you, how it has been used or disclosed, and request access or correction. You may also withdraw consent where processing relies on consent, or request deletion, subject to legal and contractual restrictions. We will explain any limitations and the effect of withdrawing consent, such as being unable to continue responding to an enquiry.
Send your request to admin@centraspark.com, with enough detail to identify the correspondence or activity involved. We may need to verify your identity without collecting more information than necessary. We respond within applicable legal time limits; under PIPEDA, access requests are generally answered within 30 days, subject to permitted extensions.
If you are concerned about our handling of personal information, contact us so we can investigate. You may also contact the Office of the Privacy Commissioner of Canada or another privacy regulator with jurisdiction.
Children and policy updates
This business website and its previews are not directed to children. If you believe a child has provided personal information that should not be held by us, please contact our privacy contact.
We may update this policy when our practices or legal requirements change. The date at the top identifies the latest version. For material changes, we will provide additional notice and obtain consent where required. A policy update does not by itself authorise a new use of previously collected information.
